Organizations
How a WhatsApp number, API key, or webhook is owned, and how to let other people manage it.
A WhatsApp number, an API key, and a webhook all belong to an organization (a shared workspace), not to one person. You get access to those resources by being a member of the organization that owns them. That is how several people can manage the same WhatsApp connection.
Your personal organization
When you sign up, an organization is created for you automatically, and you are its owner. If you work alone you never have to think about it: everything you create lands in that one organization.
It only starts to matter when you want a second person on a connection.
Letting someone else manage a connection
To give a teammate access to one of your numbers, you do not share your login or copy an API key to them. Instead you invite them into the organization that owns the number. When they accept, they become a member and can see that organization's WhatsApp sessions, API keys, and incoming events.
Each member has a role that decides what they are allowed to do:
| Role | What they can do |
|---|---|
owner | Everything an admin can do, plus manage members and delete the organization. |
admin | Manage the organization's sessions, API keys, and webhooks, and invite people. |
member | Read messages and send messages. Cannot change settings or membership. |
One person can be a member of more than one organization. The dashboard has an org switcher to pick which one you are currently working in. The organization you have selected is the one that any new resource you create belongs to, and the one your access is checked against.
You can't send invitations from the dashboard yet. Members, roles, and email invitations all work under the hood, but the dashboard screens for sending and accepting an invitation ship in a later release. Until then, organizations work for solo use as described above.
Two unrelated meanings of "admin"
The word "admin" is used for two separate things. They do not overlap:
| Term | Scope | What it controls |
|---|---|---|
Org role (owner, admin, member) | One organization | What you can do inside that organization. |
| Platform super admin | The whole system | Manages user accounts and can view every organization's WhatsApp sessions for oversight. |
The platform super admin is set up by the operator who runs the gateway, not by being the first person to sign up. See the dashboard.
